Trucking Administrator
Position Summary
The Trucking Administrator is responsible for coordinating and supporting all administrative functions related to trucking operations. This role ensures efficient freight movement through accurate scheduling, documentation management, regulatory compliance, and communication across drivers, customers, and internal teams.
Key Responsibilities
Carrier Setup & Management
• Set up onboard, and maintain carrier profiles in the TMS system, including verification of insurance, operating authority (MC/DOT), and W-9 documentation.
• Serve as a point of contact for carrier partners; build and maintain productive working relationships.
• Monitor and manage carrier capacity, ensuring adequate coverage for freight commitments.
Performance Monitoring & Reporting
• Track and analyze carrier performance metrics including on-time delivery, claims, and service failures.
• Generate regular reports on fleet utilization, carrier scorecards, and service levels for management review.
• Identify trends and inefficiencies; recommend and implement corrective actions.
• Maintain accurate freight documentation including BOLs, PODs, rate confirmations, and invoices.
Customer & Internal Coordination
• Collaborate between trucking, inventory, sales, and customer service teams.
• Respond to delivery inquiries and resolve transportation issues.
• Escalate critical concerns as needed.
Cost Control & Process Improvement
• Support route optimization and cost-efficiency initiatives.
• Monitor freight spend, TONU, and accessorial charges.
• Recommend process improvements to enhance operations.
Administrative & Operational Support
• Manage TMS data integrity: load entry, status updates, and document archiving.
• Coordinate with dispatch, billing, and accounting teams to ensure accurate and timely invoicing.
• Provide dispatch support during periods of high demand or staffing gaps, as needed.
Qualifications
Education & Experience
• Associate's or Bachelor's degree in Logistics, Supply Chain, or related field (preferred).
• 2+ years of experience in trucking, transportation, or logistics.
Skills & Competencies
• Strong organizational and multitasking skills.
• Knowledge of trucking operations and transportation processes.
• Proficiency in Microsoft Excel and logistics/TMS systems.
• Familiarity with transportation regulations.
• Strong communication and problem-solving abilities.
• High attention to detail.
Preferred Industry Experience
• Flatbed or building materials transportation.
• Shipping documentation and freight billing.
• Claims support and cost tracking.
Work Environment & Physical Requirements
• Office-based with standard business hours; some flexibility may be required during peak periods.
• Ability to sit for extended periods; proficiency with standard office equipment and computer systems.
